Under the general supervision of the Associate Vice President of Student Affairs and Dean of Students and day-to-day direction by the First Year Experience Program Specialist, the First Year Experience Coordinator performs independent, moderately complex professional student service work to coordinate several aspects of the First Year Experience Department. The primary responsibilities of the role are New Student Orientation and welcome programs; parent and family programs; emerging leader programs; and first year co-curricular involvement initiatives. Carries out daily assignments that affect CSUMB enrollment and retention goals.

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:

  • Designs, plans, and coordinates orientation and welcome programs offered to all new students and their families during the summer and prior to the beginning of each semester. Has a key focus on the coordination of parent, family, and supporter programs for guests (including Spanish speaking sessions) of new students at CSUMB. Uses judgment to apply existing guidelines and procedures to various programs and situations. Makes recommendations to expand and enhance orientation programs. Serves as a member of the Orientation Advisory Committee, and serves on department, division, and university committees.

        Supports the recruitment, selection, training, supervision, and evaluation of a large staff of orientation student leaders and other              student assistants. Develops and implements student staff training programs to prepare orientation leaders for their leadership                roles.

  • Maintains effective working relationships with a wide range of students, faculty, staff and the general public. Collaborates with faculty and various campus personnel in order to plan effective orientation programs. Develops First Year student and parent/guest programs, in conjunction with the First Year Seminar, Student Life, Student Affairs, and Academic Affairs Offices to extend the new student orientation process throughout the academic year. Supports existing traditions on campus including Otter Days, Welcome BBQ, Open House events, Freshmen Convocation, Homecoming Raft Weekend, and the Spring Welcome Back events. Creates new traditions on campus such as parent and family programs. Develops a parent’s forum to connect with parents and first year students.
  • Manages a program budget and stays within budgeting guidelines and is a good fiscal steward of resources.  Researches and prepares proposals for the expenditure of generated funds. Coordinates events by making arrangements for food service, housing, facilitators, equipment and rooms for the program to accommodate student and parent/guest needs.
  • Supports communication strategies to promote targeted first year traditions to new students. Develops and disseminates information and publicity about campus involvement, opportunities, and programs by way of flyers, brochures, correspondence, newsletters, web site, the orientation app platform, and social media. Collaborates with the admissions Communication Coordinator and the Student Life Communications Specialist in designing and producing program materials.
  • Coordinates evaluation, assessment, research, and program analysis of the First Year Experience Office using information provided by program participants, leaders, faculty, staff, and other means deemed appropriate.
  • Supports departmental participation in Admissions & Outreach Programs including Recruitment events, Open Houses, and Admitted Otter Day ensuring professional development, publication, and distribution of departmental materials. Gives presentations to groups as necessary.
  • Participates on various Campus Committees as appropriate and/or requested and approved.  Participates as an integral member of the First Year Experience and Dean of Students staff by attending regular staff meetings, supporting departmental initiatives and programs and by supporting positive student development through the programs and services provided by the department and the application of student development theories.

Other Functions:

  1. Provides general advising and program support for the First Year Experience department and its functions.
  2. Stays abreast of current trends and best practices in orientation and traditions programs often by attending seminars and conferences for program and professional development.
  3. Perform other job-related duties and special projects as assigned.


Working knowledge of the principles of individual and group behavior; procedures and activities of the program to which assigned; general knowledge of the methods and problems of organizational and program management. General knowledge of research and interview techniques; and of the principles of individual and group behavior.

Ability to interpret and apply program rules and regulations; use initiative and resourcefulness in planning work assignments and in implementing long-range program improvements; obtain factual and interpretative information through interviews; reason logically; collect, compile, analyze and evaluate data and make verbal or written presentations based on these data; advise students individually and in groups on routine matters where required; recognize multicultural, multi-sexed and multi‑aged value systems and work accordingly; establish and maintain cooperative working relationships with faculty, CSU administrators, student organizations, private and public agencies and others in committee work, and student advising and community contacts; and, rapidly acquire a general knowledge of the overall operation, functions and programs of the campus to which assigned. Demonstrated ability to make decisions and carry through actions having implications with regard to other program or service areas Services Office.


Education:  Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job‑ related field. Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities shown above may be substituted for the required education on a year-for-year basis.

Experience:  Possession of these knowledge and abilities is typically demonstrated through the equivalent of two years of professional experience in one of the student services program areas or in a related field; experience should give evidence of competence and indicate the potential for further growth.   A master’s degree in a job related field may be substituted for one year of the professional experience. 


Master’s degree in a job-related field preferred plus two years of experience related to the field of orientation, student activities, event management and coordination, and administrative management. Experience working with students or student groups in a supervisory or advisory capacity.

Highly Desirable:  Experience working in first year or transition programs on a college campus.  Technical fluency with Microsoft Office Suite, Oracle-PeopleSoft/CMS baseline system; Hyperion, or similar report generation software; and google mail and calendaring. Experience that indicates an understanding that students are diverse in their academic, socioeconomic, cultural, and ethnic backgrounds. Experience working with students who have disabilities. To support our various diverse constituent groups and communities, having multilingual fluencies is also highly desired.

  • This position is designated as a Campus Security Authority (CSA).  The position is required to participate in training at the direction of the Clery Director and must also promptly report allegations of reportable crimes according to the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act, its accompanying regulations; the California State Education Code, Chapter 15.5, of the Donahoe Higher Education Act, Section 67380; and the California State University system-wide policy, Code EO 1107.
  • Must possess and maintain a valid license to drive in the State of California, pass the Defensive Training Class, and be insurable under the University's liability coverage.

Office environment with standard equipment and tasks.  Position requires working at a computer and desk for extended periods of time.  May require travel between campus offices and off-campus locations.
