Reporting to and under the general supervision of the Student Disability and Accessibility Center (SDAC) Director and day-to-day lead of the SDAC Office Coordinator, the Accessible Assets and Notetaking Coordinator works to provide disability access, universal design and related services to assist students supported by SDAC in making successful progress toward their degree objectives. The Accessible Assets and Notetaking Coordinator is responsible for coordinating and performing direct services such as Reception, Alternative Testing, Classroom Furniture and Equipment Loan. This team member works with a high degree of self-direction while responding to student requests for services, problem-solving any challenges with accommodation implementation, and supporting communications at multiple levels. The Accessible Assets and Notetaking Coordinator leads projects and service improvements for students with learning, psychological, physical and/or intellectual disabilities. Performs duties as a member of the Health and Wellness Services team and the Division of Student Affairs.
ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:
- Coordinate support services for students with disabilities authorized by SDAC Disability Resources Advisors such as: alternative testing, notetaking, furniture placement in classrooms, equipment loans, and voter registration. Follows up with students referred for Equipment, Furniture, Alternative Testing, and Notetaking Services. Maintains frequent communication with student clients, faculty, and staff via email, telephone, in-person office visits and other means to ensure timely delivery of service. Assists with recruitment and training of Equipment/Furniture and Notetaking student assistants; directs daily workflow of student assistants assigned to these duties. Upholds professional standards, policies, system-wide mandates, executive orders, and procedures to serve CSUMB students. Support SDAC employees, interns and contractors in a variety of activities. Identifies and solves problems. Recommends process improvements. Provides back up reception support.
- Support Office Coordinator in SDAC student information management system duties. Use judgment, discretion, and accuracy for proper processing of confidential materials, which may include student information, medical and educational reports, and service notes; frequently uses SDAC's student file systems, databases and web-based information. Perform data entry and process data analysis for various services in multiple spreadsheets, create and run reports and queries, and maintain database integrity and adhere to system operations. Be knowledgeable about, and assist with training SDAC users (employees, students, and faculty) in Accessible Information Management (AIM) database; provide recommendations about SDAC services and operations. Serve as backup for AIM. Work with SDAC staff to refresh documentation and training methods about digital and paper data processes and feedback systems for SDAC accommodation requests and implementation in consultation with key stakeholders.
- Respond professionally and effectively in person, via telephone, and Internet to inquiries from students, faculty, staff, guests and community members about disability-related services related to Equipment, Furniture, Alternative Testing, and Notetaking Services; resolve questions and refer complex or unresolved issues to staff and supervisor as needed; frequently use various online scheduling programs; monitor service emails and voicemail accounts; and client file preparation. Maintain confidentiality and neat, organized work areas.
- Support technology-based accommodations for student with disabilities in collaboration with the Alternate Media and ASL Coordinator, including assistive technology services, alternate media, video captioning, video remote sign language and / or real-time captioning; determine solutions to ensure academic accommodations meet legal standards. Support department accessible technology initiatives and services in consultation with SDAC staff, CSUMB’s Center for Academic Technologies, IT, Enterprise Application Systems, etc. In collaboration with the Office Coordinator, will assist with complex research and analysis of information. Gather information and coordinate follow-up for a broad portfolio of services. Update SDAC documents per CSU and 508 accessibility guidelines.
- Assists Office Coordinator and Accessible Media and ASL Accommodations Coordinator with projects. Attends meetings and represents SDAC at campus functions. Serves as team member for Health and Wellness Services. Coordinate and assist logistics of various projects and activities; provide oversight of event set-up.
- Perform other job-related duties and special projects as assigned.
KNOWLEDGE, SKILLS AND ABILITIES:
Thorough knowledge of: correct English, including grammar, spelling, punctuation, and editing; office systems and ability to use a broad range of technology, systems, and packages. Detailed knowledge of or the ability to quickly learn applicable university infrastructure, policies and procedures. Working knowledge of budget policies and procedures. Experience to be fully functional in all technical aspects of work assignments.
Ability to: quickly acquire a thorough, detailed knowledge of applicable university infrastructure, policies, and procedures; make sound independent decisions and recommendations based on current policies and procedures and a thorough analysis of current situations; independently handle multiple work unit priorities and projects under strict deadlines; apply a wide variety of policies and procedures where specific guidelines may not exist; perform standard business math, such as calculate ratios and percentages, track financial data and make simple projections; draft and compose correspondence and standard reports; effectively handle a broad range of interpersonal contacts, including those at the highest level and those requiring strict confidentiality; address common and unique problems using reasoning and judgement to develop practical, thorough, and creative solutions; establish and maintain cooperative working relationships within a diverse, academic environment. Exceptional ability to communicate verbally and in writing, a professional, persuasive and tactful manner.
Knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite. These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.
Proficiency in Microsoft Office applications (Word, Excel, PowerPoint). Must be willing to learn: Adobe applications for ensuring document accessibility and fillable forms; Google Drive; CMS Oasis; and AIM if not already proficient. Strong interpersonal skills and a high degree of professionalism. Impeccable oral and written communication skills, particularly with vocabulary and grammar. Attention to detail is extremely critical. Excellent time management and organizational skills. Strong ability to establish and maintain professional working relationship, address effectively a broad range of people and situations, and work independently.
Technical fluency with Oracle/PeopleSoft, CSU Common Management System or equivalent student information system; Microsoft Office Professional Suite, and Google mail and calendaring programs. Familiarity with accommodations used by university students with disabilities. Experience serving individuals with disabilities. Familiarity with the Association on Higher Education and Disability (AHEAD) professional standards and Code of Ethics pertaining to duties in this position. Demonstrated knowledge of CSU infrastructure and relevant software programs. Knowledge of Accessible Information Management (AIM) database or similar system preferred.
