Anticipated Hiring Salary

$ 5,540.00 monthly ($66,480.00 Annually)

Salary is commensurate with experience.

Position Summary

Under the general direction of the Associate Director of Campus Recreation, the Special Events Coordinator will serve in the Mashouf Wellness Center (MWC) that opened in 2017. The incumbent oversees and supports all major special events for the Campus Rec Department, building capacity for a strong student life program that engages students and assists with their learning and development outside of the classroom. The incumbent oversees the program development, program management, risk management. The position works directly with a variety of student employees and sometimes interns. Incumbent must strategically align work and outcomes in a way that supports the mission of the SF State campus Student Affairs & Enrollment Management (SAEM) cabinet area, and Campus Recreation/MWC, and is in line with NIRSA: Leaders in Collegiate Recreation, and other higher education and industry best practice

Position Information

Campus Rec Special Events Program Operations & Oversight

  • To ensure program intentionality, provide independent student advisement and guidance in individual and group settings, based upon user demand, to assist students with the introduction and selection of new activities.
  • Develop, implement, review, and refine policies, standard operating procedures, and handbooks to ensure smooth operation and excellent customer service;
  • Provide administrative planning to create or establish new, recognizable, signature annual and one-time events in and around the MWC and develop creative solutions which integrate approaches across organizational lines.
  • Develop and create an event planning structure that will help provide flexibility to meet all necessary requirements for special events, including logistical planning, staffing, space usage, budgeting, risk management and safety protocols, purchasing supplies and services, day-of logistics, and post-event wrap-up.
  • Work with campus entities to fulfill event planning requirements and gain support for well-run events based on thorough planning and communication.

Sport Clubs Program Operations & Oversight

  • Develop, implement, review, and refine policies, standard operating procedures, and handbooks that ensure smooth operation and excellent customer service.
  • Manage structure, travel, risk, and Insurance to promote and ensure safety in the sport club using the CSU Resource Guide for Sports Clubs as a guiding document and serve as the Sports Clubs Representative for the campus within the CSU.
  • Utilize OrgSync software for the review and approval of documents from Club Officers and work closely with Student Activities & Events to ensure all Sport Clubs are fully chartered and fulfilling university requirements.
  • Provide guidance and advisement to sport club officers, advisors, and coaches to ensure sport clubs stay student-directed and student-run.
  • Assist clubs with continual building and maintaining of competencies within the club leadership from year-to-year so that they can build consistent practices, budgets, NGB and league relationships, and facility rentals that give them stability to grow.
  • Support logistics required for travel and competition on a state or national level for those clubs who strive to participate at this level; may work with NIRSA to facilitate participation in state, regional, and national tournaments.

Student Supervision, Training, and Development

  • Work alongside student managers for the various operational areas to make decisions and support program operations.
  • Assist and support with the recruitment, training, and scheduling of approximately student managers and when necessary and front-line staff.
  • Meet with staff, both in large groups and one-on-one settings, for direct communication and support of a strong staff team.
  • Instruct students on the utilizing proper software tools as needed.
  • Develop and maintain strong customer service skills of student employees, including the development of self-confidence, critical thinking skills, communication skills, teamwork, problem-solving, and data entry without error.
  • Support and handle student staff scheduling and payroll for Special Events and Sport Clubs operations staff.

Duties Across all Programming Areas

  • Work with Campus Rec Reservations & Scheduling to ensure activities spaces are reserved for activities and Campus Rec Marketing for marketing and promotional materials.
  • Responsible for inventory, monitoring condition, and repair or replacement of equipment for operational areas.
  • Provide and interpret data, solicit feedback, and research best practices with focus on assessing and improving operational areas.
  • Serve as a liaison to various campus offices/departments as they relate to assigned operational areas; work with 3rd party vendors within contractual guidelines, as related to operational areas; and
  • Participate in professional development opportunities and continuing education courses to maintain required certifications or industry knowledge.

Administrative

  • In coordination with Senior Management prepare and monitor annual budget, program and equipment purchases, partnership agreements.
  • Responsible for ordering, maintaining, inventory and secure storage of equipment; and
  • Actively participate in staff meetings, staff trainings, and appropriate national associations.

Minimum Qualifications

Knowledge and Abilities: The following knowledge and abilities as well as those listed at the lower levels in the Student Services Professional series are required for appointment into this classification. Thorough knowledge of the principles of individual and group behavior. General knowledge of the principles, practices and trends of the Student Services field as well as general knowledge of the policies, procedures and practices of the program area to which assigned; general knowledge of individual counseling techniques; general knowledge, or the ability to rapidly acquire such knowledge, of the organizational procedures and activities of the specific campus to which the position is assigned. Working knowledge of student services programs outside the program to which immediately assigned. Ability to analyze complex situations accurately and adopt effective courses of action; advise students individually and in groups on complex student‑related matters; determine appropriate courses of action and proper techniques to utilize while engaged with individuals in personal interactions of an argumentative or sensitive nature; interpret and evaluate descriptions and explanations of problems brought forward by individuals or student organizations, analyze and define the problem, draw valid conclusions and project consequences of various alternative courses of action; carry out a variety of professionally complex assignments without detailed instructions; and establish and maintain cooperative working relationships with a variety of individuals.

Experience: Possession of these knowledge and abilities is typically demonstrated through the equivalent of three years of progressively responsible professional student services work experience. One year in the program area to which assigned may be preferred but is not required. A master’s degree in counseling, Clinical Psychology, Social Work, or a directly related field may be substituted for one year of experience. A doctorate degree and the appropriate internship or clinical training in counseling or guidance may be substituted for the three years of experience for positions with a major responsibility for professional career or personal counseling.

Education: Equivalent to graduation from a four-year college or university in a related field, including or supplemented by upper division or graduate course work in counseling techniques, interviewing, and conflict resolution where such are job-related.

Preferred Qualifications

Master’s Degree in Sports Management, Recreation, Exercise Science, or a related field; Understanding of the application of student development concepts, including principles of individual and group behavior, and advising students individually and in groups on routine matters; Experience with developing and promoting programs and services within area of oversight through a lens of social justice, sustainability, accessibility, and non-traditional as well as traditional programming; Demonstrated knowledge and understanding of the Strategic Values and Core Competencies for NIRSA: Leaders in Collegiate Recreation, and SF State’s Strategic Plan values; Experience hiring, training, scheduling, supervising, evaluating, and developing student employees; Experience with new program development and implementation; Experience overseeing club sport programs; Experience developing and overseeing special events; Demonstrated technology, software, and hardware skills including the use of Microsoft Office, email and the internet; and Experience providing high quality customer service, and contributing to a positive, friendly, work and wellness environment.

Ability to: Develop and oversee club sport and Special Event program operations including staffing, policy development and enforcement, risk management, registration management, marketing, and collecting, interpreting, and reporting participation data; Work effectively with students who have a variety of skill and experience levels, and who will be working in various levels, from entry to program management levels; Rapidly acquire general knowledge of overall operation and functions of program operations; Develop and implement policies and procedures that ensure safe instruction and risk management; Assess the safety, risk management, and environmental needs as applied to sport clubs and special events areas within the department; Use initiative and resourcefulness in planning and implementing short and long-range improvements; Collect and evaluate data and make presentations based on these data; Respond positively to feedback and support efforts for improvement; Establish and maintain cooperative working relationships; and Work independently and as part of a team.

First Aid/CPR/AED Instructor Certification.

Environmental/Physical/Special

Duties take place mostly in an office setting, with primary locations at the Mashouf Wellness Center. Ability to: succeed in a fast-paced, multi-tasking environment; work variable nights, weekends and/or holidays, on-campus or off-site, Indoors and outdoors, depending upon work conditions and demands, including an occasional overnight stay; use computers and other communication tools for extended periods of time; and competently interact with a culturally and ethnically diverse population of students, faculty, staff, and campus community.
