PURPOSE:

Under the direct supervision of the Associate Director of Logistical and Facilities Services and day-to-day work direction of the Shipping & Receiving and Warehouse Lead, the Mail Clerk is responsible for the receipt, inspection and distribution of inbound mail, inter-campus mail, parcels and freight for the campus community.

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:

  • Collect, sort, and distribute campus mail, United States mail and other printed and packaged materials for the campus. Process inbound and outbound mail, intercampus mail, parcels and freight shipments. Inspect materials for damage and proper delivery address. Receive materials by using established protocols. Process and prepare mail and parcels, including sorting and loading, according to delivery routes. Sort and distribute intercampus mail.
  • Ensure that materials are securely stored, kept and transported. Deliver materials, acquiring signatures where necessary. Track and reconcile undelivered items. Pick up outgoing items from on and off campus locations. Stage items for carrier pickup. Use online carrier websites to process outbound shipments. Use metering system to process outgoing mail and parcels. Utilize tracking, postage meter, and carrier shipping systems.
  • The Mail Clerk will also provide warehouse coverage during operational hours, when needed.

Other Functions:

Performs other job-related duties and special projects as assigned.

KNOWLEDGE, SKILLS AND ABILITIES:

General knowledge of office methods, supplies and equipment; working knowledge of current postage rates and shipping rules and regulations.

Ability to accurately interpret and apply current postage rate charts and regulations; spell correctly; read and write at a level appropriate to the duties of the position; and perform mathematical calculations quickly and accurately.

MINIMUM QUALIFICATIONS:

One year of general office clerical work, stock clerk work or delivery service work.

Prospective applicants who have not had the experience listed may be considered eligible based on other evidence of meeting the above average minimum qualifications.

PREFERRED QUALIFICATIONS/DESIRABLE EXPERIENCE:

Minimum 3 years of mailroom or shipping/receiving experience. Experience with postage meter equipment, such as Pitney Bowes. Ability to use various software, such as Microsoft Word, Excel. TMA Systems. Strong knowledge of general warehousing procedures.

Technical fluency with Oracle/PeopleSoft, CSU Common Management System or equivalent <student/finance> information system; Microsoft Office Professional; Google Workspace (Gmail, Docs, Sheets, Drive, Calendar, Forms, etc.); 25Live; intranet drives; and internet browsers.

  • Must possess and maintain a valid license to drive in the State of California, pass the Defensive Training Class, and be insurable under the University's liability coverage.
  • May require occasional evenings and/or weekend work.

PHYSICAL ENVIRONMENT:

Requires travel between campus offices and off-campus locations.  Office environment with standard equipment and tasks.  Position requires working at a computer and desk for extended period.

PHYSICAL REQUIREMENTS:

Ability to stand or sit for extended periods of time. Ability to perform manual labor including reaching, carrying, lifting, pushing, kneeling, twisting and balancing of objects up to 50 lbs.
