PURPOSE:

Under the direct supervision of Vice President of Enrollment Management and Student  Affairs, and regular collaboration with Information Technology, the Lead Salesforce/CRM Systems Administrator will execute University enrollment strategies through Salesforce for all enrollment, admissions and financial aid initiatives and operations. This position will develop appropriate mapping and support to the academic core via OASIS, WebAdmit, OAS, enrollment vendors and other systems that support student success for the university. This position will take part in defining, configuring, and implementing system integrations with Salesforce and the needs of academic systems, while providing advanced strategic support to various functional areas to meet and exceed departmental. The Lead Salesforce/CRM Systems Administrator will also serve as the main point of contact for all Salesforce related vendors, plugins, and applications

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following

System Administration & Configuration

  • Configure and implement business solutions for Salesforce and WebAdmit/OASIS systems
  • Ensure seamless updates to the systems as available. Maintain, update, and test system integrations
  • Work closely with university vendors to ensure secure transmission of data. This includes the use of sFTP and web-based browser downloads.
  • Regularly utilize Salesforce automation tools (Flow, Process Builder), iPass tools (Dell Boomi, Mulesoft, Informatica), data management tools (Data Loader), and report/dashboard creation.
  • Integrate Salesforce AppExchange tools and third-party applications to extend platform functionality.
  • Serve as main point of contact for the Division of Enrollment Management and Student Affairs for Salesforce related inquiries.
  • Serve as an integral part of University communications as they relate to loading and sending email campaigns, SMS messaging, etc, and monitoring their success. This includes the usage of Salesforce Marketing Cloud Account Engagement (formerly Pardot), Salesforce Marketing Cloud, MassMailer, and SMS-Magic.

Data Management, Integrations, Reporting, & Analytics

  • Maintain the integrity of the data stored in the system to ensure accuracy.
  • Create, manage, and maintain Salesforce reports and dashboards to provide recommendations divisional leadership.
  • Execute data migration and manipulation tasks using data loading tools (e.g., Data Loader) and ETL tools, ensuring data integrity and quality.
  • Utilize advanced features of spreadsheet and database software (such as Microsoft Office and Google tools) for general data manipulation and analysis.
  • Help resolve and troubleshoot integration/data issues as necessary
  • Complete routine security and data audits.
  • Manage User Profiles and Permission Sets for staff who require varying levels of access.
  • Complete data analysis and summarize conclusions and recommendations into published reports

User Support & Training

  • Ability to produce training documentation for user adaptations
  • Develop and Conduct Salesforce training materials, work instructions, and training sessions for end-users across multiple organizational levels to ensure proper usage of Salesforce functionality
  • Maintain effective working relationships with division partners and communication with university stakeholders to present technical solutions and facilitate decision-making.

KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge:  Working knowledge of operating systems, servers, and infrastructure and server administration as well as related system administration concepts, principles, and technologies. Proficiency in using applicable software, server, and system technologies, and programs. Knowledge of the assigned computer operations systems, systems analysis, and systems-level programmingWorking knowledge and ability to configure data and trouble shoot system issues. Working knowledge of troubleshooting hardware and software issues and providing technical support. Working knowledge of applications programming techniques and procedures

Knowledge of higher education policies, data needs, and data privacy regulations.

Skills: Strong analytical skills to evaluate, monitor, and resolve systems issues and design, develop, and implement systems solutions. Strong organizational and time management skills to plan, organize, prioritize work and manage multiple time sensitive assignments and smaller projects. Strong communication and interpersonal skills to gather information from users, communicate technical issues effectively, and draft documentation. Analytical skills to think critically to diagnose problems and recommend solution.  Skill in leading the work of others.

Ability to present technical information to technically diverse audiences in a clear and concise manner. Ability to use appropriate operating systems and scripting languages and ability to perform systems level programming in a distributed, networked environment. Ability to work independently as well as part of a team and build relations with diverse stakeholders

Ability to maintain confidentiality and appropriately handle sensitive data and information

MINIMUM QUALIFICATIONS:

Equivalent to a Bachelors degree in a related field and two years of relevant experience. Additional experience which demonstrates acquired and successfully applied knowledge and ability shown above may substituted for the required education on a year-for-year basis. An advanced degree in a related field may be substituted for the required experience on a year-for-year basis.

SPECIALIZED SKILLS:

  • Must be a detailed oriented, self-starter with excellent technical development skills.
  • Strong verbal and written communications, with the ability to communicate effectively at multiple levels in the organization.

PREFERRED QUALIFICATIONS:

  • 3+ years of functional Salesforce administration experience, preferably in the higher education or non-profit industry. Experience leading functional testing and adoption strategies for system updates strongly preferred.
  • Salesforce Certified Platform Administrator II certificate
  • Salesforce Certified Platform App Builder certificate
  • Experience with Salesforce Marketing Cloud Account Engagement, Education Data Architecture (EDA), and integrating Salesforce AppExchange tools
  • Experience with Sandboxes, Sales Cloud, and Service Cloud
  • General Apex coding and Lightning Web Component knowledge. Knowledge of HTML and CSS coding

Technical fluency with Oracle/PeopleSoft, CSU Common Management System or equivalent <student/finance> information system; Microsoft Office Professional; Google Workspace (Gmail, Docs, Sheets, Drive, Calendar, Forms, etc.); 25Live; intranet drives; and internet browsers.

PHYSICAL ENVIRONMENT:

Office environment with standard equipment and tasks. The position requires working at a computer and desk for extended periods of time.  May require travel between campus offices and off-campus locations.
