Anticipated Hiring Salary Range:  $4,003 - $4,691* for 12 months working an 11 month work schedule

PURPOSE:

Under the general direction of the Director of OtterCare, the OtterCare Operations & Student Support Coordinator provides administrative, operational, and front-line support for OtterCare services and The Hub. This position primarily supports afternoon and evening operations, ensuring consistent service delivery and student access to food and basic needs resources.

The incumbent works in coordination with the Morning Hub Coordinator, who leads food recovery and sourcing efforts, by supporting the organization, distribution, and student-facing delivery of resources.

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:

Operations & Student Staff Support

  • Provide front-line service at The Hub during afternoon and evening hours, assisting students in accessing food and basic needs resources.
  • Deliver student-centered customer service, including answering questions and providing general guidance on available services.
  • Support daily operations of The Hub, including opening/closing procedures, restocking, and maintaining a clean, welcoming environment.
  • Coordinate closely with the Morning Hub Coordinator to ensure smooth transition from food recovery to distribution and service delivery.
  • Assist in organizing and distributing recovered and purchased food items to students in alignment with established guidelines.
  • Identify students who may benefit from additional support and refer them to appropriate campus or community resources.
  • Assist with coordinating student assistant schedules and daily task assignments.
  • Provide routine guidance and training to student assistants on standard procedures and service expectations.

Program & Service Coordination

  • Support the coordination of OtterCare services, including food distribution and related student support services.
  • Assist with organizing, stocking, and maintaining food inventory received through recovery and purchasing efforts.
  • Maintain orderly and accessible systems for food storage and distribution to support efficient service delivery.
  • Support ongoing program activities and services based on established procedures and daily operational needs.

Administrative & Operational Support

  • Maintain records related to inventory, student usage, and service delivery in accordance with university polities
  • Assist with data entry and tracking of program participation and service trends.
  • Support preparation of basic reports, communications, and outreach materials.
  • Assist with routine purchasing processes, including tracking supply orders and reconciling expenses.
  • Support general office and program operations, including maintaining shared systems and communication channels.

Other Functions:

  1. Perform other job-related duties and special projects as assigned.

KNOWLEDGE, SKILLS AND ABILITIES:

Thorough knowledge of: applicable university infrastructure, policies, and procedures; English grammar, spelling, and punctuation; office systems and budget policies and procedures.

Ability to: use a broad range of technology, systems and packages; independently handle multiple work unit priorities and projects; apply independently a wide variety of policies and procedures where specific guidelines may not exist; perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections; draft and compose correspondence and standard reports; handle effectively a broad range of intrapersonal contacts, including those at a higher level and those sensitive in nature.

MINIMUM QUALIFICATIONS

Knowledge and skills in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite. These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents, combined with several years of office related work experience.

PREFERRED QUALIFICATIONS/DESIRABLE EXPERIENCE:

  • Bachelor’s degree in higher education, social services, public administration, or a related field.
  • Minimum of two (2) years of professional experience in student services, food access programs, or a related area.
  • Experience working directly with diverse student or community populations.
  • Experience coordinating programs, services, or operations.
  • Experience supervising, training, or mentoring student staff, volunteers, or peer educators.
  • Experience supporting college students with food access, resource navigation, or OtterCare initiatives.
  • Experience managing or supporting a food pantry, food recovery program, or similar service operation.
  • Knowledge of campus and community resource systems, including referral processes.
  • Experience with data tracking, assessment, and program evaluation.
  • Bilingual or multilingual skills relevant to the student population.
  • Technical fluency with Oracle/PeopleSoft, CSU Common Management System or equivalent student/finance information system; Microsoft Office Professional; Google Workspace (Gmail, Docs, Sheets, Drive, Calendar, Forms, etc.); 25Live; intranet drives; and internet browsers.

PHYSICAL ENVIRONMENT:

Office environment with standard equipment and tasks. The position requires working at a computer and desk for extended periods of time.  May require travel between campus offices and off-campus locations.
